About the client
An adults-only eco-retreat and yoga center in downtown Dominical, operating since 2008, with guest rooms built from 12 upcycled shipping containers. It is a TripAdvisor Travelers' Choice and GreenLeader property that hosts its own retreats and outside facilitators.
The challenge
- Contacts came from Mindbody, CSV imports, Typeform, Calendly and the website, with duplicates and no reliable lead source.
- Retreat-host inquiries arrived through several consultation flows that didn't consistently reach the CRM.
- No repeatable newsletter for upcoming retreats, and sending-domain authentication wasn't set up.
- Special events needed payments and confirmations without a ticketing platform.
Our solution
- CRM cleanup and data model: deduplicated the Mindbody and CSV populations, backfilled lead source, and set up a contact-type taxonomy (guest, retreat host, student and more).
- Automation that holds up: Zapier flows route Calendly consultations and Typeform inquiries into HubSpot and auto-classify contacts. They are hardened against real failures, such as HubSpot fields turning read-only and non-numeric form answers.
- History recovered: extracted 546 historical Typeform responses (241 unique contacts) into a dual HubSpot and Sheets structure.
- Email program: five production-ready retreat newsletters for the Aug 2026 – Feb 2027 season, built in HubSpot, with SPF/DKIM authentication through Cloudflare.
- Event infrastructure: for the NÉCTAR supper club, a HubSpot form on WordPress, a Vercel serverless webhook, Resend confirmations and payment links by guest count.
- Enablement: HubSpot training for the retreat coordination team, and native Divi page builds so the team can edit pages themselves.
