A CRM data model is the structured schema of objects, properties, and relationships that defines how a business's customer and revenue data is organized inside a CRM platform — determining what information can be stored, how it connects, and what can be reported.

What Is a CRM Data Model?

A CRM data model is the architecture that determines how customer and revenue data is structured in a CRM system. It defines:

The data model is the foundation that all CRM reporting, automation, forecasting, and integration is built on. A well-designed data model makes the CRM a reliable source of truth. A poorly designed model creates data integrity problems that compound over time.

Core Components of a CRM Data Model

Objects (in HubSpot terminology):

Standard HubSpot objects: Contacts (individual people), Companies (organizations), Deals (sales opportunities), Tickets (customer support cases), Products (items in your catalog).

Custom objects extend the standard model for business-specific entities — Subscriptions, Locations, Projects, Contracts, Equipment — that standard objects don't represent well.

Properties:

Standard properties are predefined by the CRM (First Name, Email, Lifecycle Stage, Deal Amount). Custom properties are created by the organization for data not covered by standards.

Property governance matters: every custom property should have a documented owner, a use case, and a reporting dependency. Without governance, custom property counts grow unchecked — teams have seen 400+ custom properties after two years of uncontrolled CRM use, most of them orphaned.

Associations:

HubSpot supports associations between any objects. A Contact can be associated with multiple Companies (for people who change roles). A Deal can be associated with multiple Contacts (for buying committees). Custom objects can be associated with standard objects.

Association design affects reporting: if Deals aren't associated with Contacts, you can't report on which contacts were involved in won deals. If Subscriptions aren't associated with the originating Deal, you can't trace renewals back to acquisition cohorts.
